How to manage my users?

Users list

To access the users list, go to “Accounts” > “Users” in the Administration panel.

You will see the lists of all the users existing in the company, categorized by “Active”, “Milliman consultants”, and “Disabled” users.

You can search this list by clicking the Search button in the top bar.

Add a new user

To add a new user, click on the blue button “Add User +” in the top bar. You will be redirected to the creation page.

You must fill in basic information about your user: its e-mail, first name, and last name. (1)
If the user already has a Milliman Mind account, the first name and last name will be automatically filled in.

A button allows the user to be disabled while creating an account, for example, to grant him access later on.

Licenses (2)

You must then assign licenses to your user. Only one type of the main Milliman Mind platform license (Design, Run, Read) must be assigned at a time. You can also assign additional features to grant your user other rights (AppBuilder, Administrator, …).

If you use Apps, it is where you can assign an app license to a user.

Profile (3)

After assigning the licenses, you must set a Profile for your user. A profile is a set of rights available for a specific license level. By default, there are three profiles corresponding to the three main license levels, but the administrator can easily create new profiles for the company's specific needs.

When you select a profile, you will see how many rights are assigned to this user.

Workspaces (4)

In this part, you will define which workspaces (formerly Project groups) your user will be granted access to.
First, click on “Assign new workspace.” A modal will appear, giving you the choice to select each of the workspaces you want to grant access to the user. Then click on “Add”.

The list of the chosen workspaces will be added to the user account. It is at this moment that you will be able to select for each if you want to give a Read/Write or Read Only access.

Password (5)

When you create a user that is not part of a configured Active Directory, you have the choice to generate a random password or to define your own password.

The password must follow some security rules and be reset at the first connection anyway.

Another option allows you to choose whether to email the user to warn him about this new access and give him its credentials.

Edit / Disable a user

To edit a user, click on its name on the main users' list.

This will open a page very similar to the creation page, where you can edit most of its information and reset its password.

You'll also be able to Disable the user by using the toggle on the top-right of the page.
This will prevent its access to the software without deleting its information in the system, which can be useful in the Audit trail of projects, for example.

There is also the possibility of deleting a user, but this is not recommended for the reason given above.

Export users' list

Clicking on this item allows you to export a CSV with all your users, their rights, licenses, and workspaces assigned :

Add many users at once with a bulk CSV import

The administration panel gives you the possibility to import many users at the same time based on a CSV file.

To do so, simply click on the extra menu next to “Add User +” and then on “Add users (CSV)”.

A new window will appear: follow the steps (you will be able to download a sample file), and your users will all be imported at once.
